At Clark Family Eyecare we are committed to the high customer service standards, this includes protecting your privacy. We will only collect data that is necessary for us to deliver the best possible service and ensure you are reminded about appointments or anything else relevant to your ongoing care. This policy provides detailed information on when and why we collect your personal information, how we use it and the very limited conditions under which we may disclose it to others.

Collection Of Your Personal Information

In Practice: In addition to your basic contact information (name, date of birth, telephone numbers and your addresses) we will collect other relevant details including current and past health and medication information, your examination results, payment details and lifestyle information. We may also store associated information received from other health care professionals as part of your ongoing care.

 Website: The intention of a website is to showcase products and services to consumers. Our website is hosted by Squarespace, who will collect data such as IP addresses for analytical purpose.

How We Use Your Information

In Practice: The information we collect about you is used to ensure we provide you with the best and most appropriate products and services. In addition to your ongoing eye care, we will remind you when appointments are due and suggest relevant products or services that we believe would be of interest. We use your contact information to respond to queries from you, and where appropriate your bank details to collect Direct Debit payments as agreed. We may occasionally contact you to ask for your feedback on services we have provided and to offer the opportunity to trial new products.

Marketing Emails: Your information will only be used to send marketing communications about products and/or services if you have agreed to these communications. You can opt out at any time.

Website Forms: Contact forms on the website uses personal information to enable Clark Family Eyecare to communicate efficiently with the user and will collect data for purposes only to be used by Clark Family Eyecare in the instance of booking an appointment or marketing emails, where your permission has been gained. By submitting a form to Clark Family Eyecare you are confirming that you are happy for us to have your information for the purpose you are submitting the form in. 

Our Policy On Storing, Processing And Retention Of Your Information

To provision and manage our services, your data is stored and processed by iClarity within their UK facilities that are certified to ISO27001. If we collect Direct Debits from you these payments will be processed by Adaro Direct. Any third-party company is only permitted to process your data for the specified purposes and in accordance with our instructions.

We retain your information for as long as reasonably necessary to provide our products and services and to maintain records to satisfy tax and other legal requirements.

How and When We May Share Your Personal Data

Where necessary we may disclose your information to health care professionals including the NHS. We may also pass information to external agencies and organizations, including the police, for the prevention and detection of fraud and criminal activity. Should any claim be made, we may pass your personal information to our insurers and if our business is wholly or partially transferred to a third party, your personal information may be one of the transferred assets.

Updating Your Communication Preferences

You may ask that we do not send you communications using any of the contact details we hold on our records, this may include your email, SMS, telephone and postal information. You may also request we restrict our communications to clinically necessary messages. Your personal preferences can be changed at any time by using our contact details below.

iClarity: Patient Database, used in practice to store information regarding services and/or products you have accessed as a consumer
Google:We Use Google Analytics to track information on the performance of the site.
Social Media: If you access social media pages from our website, information may be stored by the social media platform.

Analytics

We use Google Analytics to track information on the performance of the site. This information tracks visitors to the site, their locations, device usage and internet browsers used. None of the information analysed by GA identifies individuals. You have the ability to disable the cookies on your internet browser that will prevent GA tracking your visit to the site.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

Additionally, if you contact the site through the contact form we retain this data as a record of the communication and type of enquiry.

Customer Photographs

Customers photographs are only taken where verbal consent has been gained, and the customer is fully informed that their image may appear on our social media pages, our website and other marketing material. Customers can change their preference at any time and withdraw the right for us to use their image by contacting us immediately. Where their image may have been used in paper-based marketing Clark Family Eyecare has no access to withdrawing it once it has been distributed. Customers full names are never published however, information may be included regarding products they may be showcasing.

What rights you have over your data

If you have contacted the website, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
